The administrative service departments support IMBA scientists in all scientific and organisational issues, forming a valuable underlying support structure allowing scientists to focus with full energy on their core competencies. All administrative departments are also cooperatively active for the partner institute IMP.
Assistants to the Management
The assistants are responsible for a variety of duties that help run the organization at IMBA efficiently.
Mainly, they support the directors in all aspects of their office and lab management.
Furthermore, they assist in organizing symposia, seminars, the annual recess and scientific meetings.
They also attend to seminar speakers and other guests of the institute and take care of the travel management for the IMBA staff.
The Accounting/Controlling department is responsible for all bookkeeping issues for example accounts payable, billing, bank transfers, traveling costs or paying of fees and charges. You can contact the Accounting department for paying cash out your expenditures. The opening Cash Hours are every day from 10 to 12 o`clock.
Furthermore the department is also responsible for all Budget and Controlling requests. It plans the whole yearly Budget for IMBA and every Cost Center and reports the actual quarterly result.
The cafeteria provides catering for all staff at the Campus Vienna Biocenter. As the clientele is very international, great value is placed on a varied and above all international menu. Vegetarian dishes are fixed features on the menu. The cafeteria also provides catering for internal meetings and large events.

The Communications Team of IMBA offers a variety of services for external and internal communication, aiming to make science understandable and exciting to a range of audiences. The department acts as the contact point for information requests and perceives itself as a partner of science journalism. Its aim is to provide high quality information to the media representatives, covering important research news as well as general issues in science development. In addition, it provides picture material and background information, produces general brochures, and coordinates the publication of IMBA's annual Research Report.
The Technical Department consists of the facility management and the workshop.
Facility management is responsible for maintenance of the building, structural conversions and renovations, all systems in the building and the complete fixtures, fittings and furnishings in the labs.
The Workshop develops special laboratory equipment, machinery and any kinds of customized solutions the scientists need in their labs. The workshop staff also repair mechanical faults in lab equipment or perform routine adjustments such as calibrating pipettes. Repairing office and everyday equipment also falls under their responsibility.
The Grants Management provides administrative, financial and legal support for all grants related matters from advice up to application, contract negotiation, project controlling, financial project reporting and project auditing. All applications have to be approved by the Grants Management prior to submission.
We are the contact point for PhD students, PostDocs and Group Leaders and act as interface with funding agencies and project coordinators.

Highly skilled and motivated employees are the key to our success. As members of the personnel department we act as a link between the management and the employee. We are HR Business Partners in order fulfill the goals of the institute and at the same time we are keen to offer all personnel related services for the employees in the best possible way.
We are the first “newbies” get in touch with and warmly welcome them providing all necessary information (e.g. starterpack, safety guidelines) to start off on the right foot.
Our department handles the hiring of new employees, setting up the contracts of employment and if required preparing all necessary papers for the visa issue. In terms of the recruiting process we assure a quick and efficient replacement for any vacant position. We promote our members in their career steps providing tailor made education and training opportunities. Our payroll accountants provide the salary statement accurately and on schedule.

The Information Technology Department provides the services to make all kinds of electronic communications possible. We, the experts in the IT, evaluate available and requested services and determine which vendors can provide the best equipment and/or support for the company. These services include creating and configuring the network infrastructure and it's access, troubleshoot problems, setting up and making changes to computer equipment, provide storage space with a workable disaster recovery strategy or implementation and compliance of security rules.

The private funding department is responsible for raising funds from various private sources (individuals, companies, foundations) in order to contribute to the institute’s budget and therefore to support IMBA’s further development and growth.
The department is in charge of the service for supporters. We develop and implement the fundraising strategy based on major gifts and the funding program with various giving opportunities. The main focus of our work lies on identifying new promising contacts and on building and strengthening our relationship to prospects and donors through various communication and cultivation measures. The private funding team closely collaborates with the members of the fundraising committee and the IMBA ambassador’s circle. We are also responsible for the concept and production of information material (e.g. brochures, fact sheets, IMBA donor magazine, donor reports, etc.) and for the organisation of all sorts of events ranging from individual meetings to tours through the scientific world of IMBA or Meet-the-Expert-Dinners.

The mission of our department is to ensure timely and cost efficient provision of consumables, investment items and services to the various departments of IMBA. Our aim is to provide a “one-stop-shop” for anyone involved in supply or usage of such items.
We routinely interact not only with external supply partners, but also with all IMBA departments in general and, more specifically, with Accounting/Controlling, IT, and Management.
The Purchasing department manages all supplier relationships, such as selection of suppliers, negotiation of commercial matters, purchase order processing, as well as any communications related to purchases like claim handling, warranty matters, preventive maintenance and repairs.
At the Storehouse, an inventory of high-throughput consumables and office supplies is kept available for immediate access by the users.

Business partners, seminar speakers, and newcomers at the IMBA usually receive their first impression of the institute via the personnel of the reception. Therefore the receptionists of IMBA are eager to radiate a welcoming friendliness which invites guests into the building.
Apart from receiving visitors, the reception is responsible for the issue of access cards, handling the mail and taking and redirecting phone calls. During business hours the reception is manned by our internal receptionists. In the evenings, in the night and all weekend the IMBA reception is run by an external security company, which also provides staff for vacation and sick leave.
